This AI Compass is a guide to help you understand how we use artificial intelligence (AI) at Eva Solo. It provides an introduction to what AI is and explains our policies and guidelines for the responsible use of AI. You will also find information about the platform we use in our daily operations and how it integrates into our workflows.

Additionally, we showcase examples of how AI can be used and how it can create value for you and Eva Solo, along with links to resources where you can learn more about the technology. You’ll also find information on whom to contact for assistance and how to stay updated on the latest AI trends.

Finally, you will find a glossary of essential AI terms to help you navigate the AI landscape. The purpose of this AI Compass is to help you understand and apply AI at Eva Solo, so you can take full advantage of the many opportunities this technology has to offer.

What is AI?

Artificial Intelligence, or AI, is a broad term for technologies that enable machines to perform tasks that typically require human intelligence. Through machine learning and advanced algorithms, computer programs can learn from experience, analyse large amounts of data, recognize patterns, and make decisions in ways similar to how humans do.

AI allows machines to understand language, recognize faces in images, and even drive cars without human intervention. The technology is already an integral part of our daily lives. When we search on Google, receive recommendations for a new series on Netflix, or see targeted ads on social media, AI technology is at work.

 

Our Position and AI Strategy

At Eva Solo, we believe that both the company and its employees should explore and employ the many opportunities AI offers, both in daily work and in personal life.
We expect employees to stay informed and keep up with developments – the company will also support/help with this – while building knowledge and an understanding of how artificial intelligence can best be applied across the company’s various areas.

It can seem like pure magic when computer programs write celebratory songs or create beautiful images out of thin air. But in reality, it’s all mathematics and pattern recognition. The machines neither think nor perceive; behind the scenes, it is simply a complex yet convincing imitation of human processes.

Our AI Policy and Guidelines

At Eva Solo, we encourage you to integrate AI technology into your daily work to optimize and streamline workflows, allowing both you and the company to save time and resources. However, it is essential to use AI technology thoughtfully and remain mindful of what information and data you share. As a rule of thumb: Never share information that you wouldn’t share with a stranger.

Below are our AI policy and guidelines outlined in bullet points:

  • Data Confidentiality and Security: Always be mindful of data confidentiality. Avoid entering or sharing sensitive information, such as personal data, financial details, or confidential company information, into AI systems unless you are confident it is done securely and in compliance with relevant laws and common sense.
  • Accountability: Take responsibility for your actions and decisions when they are based on AI-generated recommendations. AI is a tool to assist decision-making, but it must not replace your own judgment and sense of responsibility.
  • Continuous Learning and Development: Stay up to date with the latest developments in AI technology and proactively learn new skills. Participate in training programs and workshops offered by the company to improve your ability to use AI tools effectively (see also the section “How Can I Learn More?”).
  • Feedback and Improvement: Share your experiences and feedback about AI tools with colleagues and management. This can help improve existing systems and processes, as well as identify areas where further training or support might be needed.

By following these guidelines, we ensure the effective and responsible use of AI technology across the entire company.

 

Important Considerations

Remember, ChatGPT is an artificial intelligence, not a moral compass.

While it can answer (almost) anything, it does not possess a human understanding of ethics or morality. Therefore, there are certain things we must be especially cautious not to use AI for. Here are a few examples:

  • Criminal Purposes: AI must never be used to plan, execute, or facilitate illegal activities (e.g., hacking, fraud, or manufacturing illegal products).
  • Sensitive Personal Information: Never share data such as Social Security numbers, account details, passwords, or private information.
  • Unauthorized Decisions: Do not use AI to make legal, financial, or health-related decisions without human oversight and evaluation.
  • Unrealistic Expectations: Avoid presenting AI results as absolute truths – AI is not infallible and can make mistakes.

The goal is to ensure that the tool is used constructively. ChatGPT is an excellent resource, but ultimately, it is just a highly advanced text generator without human judgment – which is why your own judgment is essential. Use it thoughtfully, but don’t let it limit your creativity.

Eva Solo’s Preferred Platform – ChatGPT

ChatGPT is available in both a free and a paid version. The free version is accessible to everyone and is well-suited for tasks such as answering basic questions, generating standard content, performing text-processing tasks, and analysing data. It works well for most assignments but may not be the best solution for very data-heavy or complex tasks. Please note that availability may be limited during busy periods.

The paid version, ChatGPT Plus, offers additional benefits that can be crucial for more complex and demanding tasks. With ChatGPT Plus, you gain access to:

  • Enhanced Performance: Faster response times and the ability to handle larger amounts of data, which is essential for complex analyses and content generation.
  • Advanced Features: Improved contextual understanding and the generation of more precise and detailed responses.
  • Priority Access: Shorter wait times and greater reliability, even during peak usage periods, ensuring stable operation and efficiency.
  • Increased Usage Capacity: Plus users have access to more daily usage and can use the service with fewer interruptions.
  • Access to the Latest Models: The Plus subscription provides early access to the newest versions of ChatGPT, often including updates and improved features.

Practical Everyday Applications of AI

  • Responding to Customer Reviews: AI can assist in drafting friendly and precise responses to reviews on platforms like Trustpilot and Facebook.
  • Translation and Customer Service: AI can quickly translate inquiries from other languages and help formulate responses in everything from Swedish to Swahili.
  • Data Analysis and Inventory Management: Use AI to cross-check inventory lists and match item numbers with storage locations.
  • Communication with International Drivers: AI can act as an interpreter, helping warehouse staff communicate clearly and effectively with drivers, regardless of language.
  • Reviewing and Summarizing Contracts: AI can read through and summarize complex contracts and legal documents – remember to remain critical.
  • Custom GPTs for Plus Users: Plus users can create Custom GPTs, where ChatGPT is instructed to follow specific workflows, reference defined documents, perform particular calculations, and much more. Custom GPTs can be shared via links and used by everyone.

 

Inspiration and Usage

A folder has been created for each department on the I-drive under I:\AI, where the department's ideastorm sheets are stored. These sheets contain ideas, projects, and tasks that the department aims to solve using AI in the future.

Additionally, there is a “Prompt Library” where useful prompts for repetitive tasks can be saved and shared with others. This library is also located under I:\AI. Feel free to contribute to the library or draw inspiration from it.

Glossary and Explanations of AI Terms

AI stands for "Artificial Intelligence." It refers to computers and systems that can perform tasks typically requiring human intelligence, such as learning, reasoning, understanding, and interacting with their environment.

Prompts are the text inputs or questions that users provide to AI systems to receive specific answers or perform tasks. For language models like GPT, prompts serve as instructions that guide the model to generate relevant and coherent responses. Clear and precise prompts are crucial for effective interaction between the user and AI, maximizing the model’s potential to create text, answer questions, and develop content. Efficient use of prompts requires an understanding of both the model’s strengths and limitations.

A Custom GPT is a tailored version of a Generative Pre-trained Transformer (GPT), a type of AI designed to generate human-like text based on input. Custom GPTs can be adapted to specific tasks or industries by training the model on datasets relevant to the intended use.

Custom GPTs are used to automate routine tasks such as answering FAQs in customer service, content creation, and data analysis. By being trained on specific data related to a company or topic, Custom GPTs can provide more accurate and relevant responses. They help save time and resources by taking over tasks that would normally require human intervention.
